Introduction

Web Author offers equivalent functionality to the existing desktop Author, but is accessible within the BusinessOptix library via your browser.

Author Tab

From the library Author tab, you can select:

  • Create - Create BPMN process diagrams, org charts, documents, forms, reports etc.
  • Recent - Edit one of the models you recently worked on
  • Samples - Edit the sample models

New Model

Select the required stencil, enter the required model details and Save.

Once the model is saved to the shared structure you can share with your peers informally (via email link) or formally (via workflow).

Import

Import a model from an external source.

Simply select the file to import (via Choose file) and the relevant file type.

Browse Models

Browse the library folder structure to locate an existing model to edit.

Outputs

Generate a single PDF/Word output from 2 or more selected models - simply:

  • Select the models that you want to generate outputs for (or select an existing configuration),
  • Save the current settings for future use (if you wish),
  • Select the style to use,
  • Select the output type (PDF/Word),
  • Generate

Once generated, your output will be emailed to you.

Edit a Model

Once you select an existing model, or create a new model based on the required stencil, the model will be presented for edit.

There are 3 distinct areas within the Author tool:

  • Author ribbon
  • Model explorer
  • Properties inspector

Note that there are tooltips available for the Author Ribbon elements.

Turn these on in the Options tab by setting the 'Show tooltips' option.

File tab

The options available within the File tab are:

  • New - create a new model
  • Open - open an existing model (CTRL O)
  • Save - save the current model (CTRL S)
  • Move/Copy - save a copy of the current model or move the model to another location
  • Download - download this model to your computer
  • Check out - check out this model so only you can edit it
  • Check in - check in this model so other users can edit it

File Tab

The options available within the Edit tab are:

  • Delete - delete the selected component (DEL)
  • Cut - cut the selected component to the clipboard (CTRL X)
  • Copy - copy the selected component to the clipboard (CTRL C)
  • Paste - paste from the clipboard (CTRL V)
  • Undo - undo the previous action
  • Redo - redo the previous action
  • Select all - selects all elements in the current diagram (CTRL A):
    • Nodes - selects all nodes within the current diagram
    • Links - selects all links within the current diagram
    • Lanes - selects all lanes within the current diagram

Components tab

The options available within the Components tab are:

  • Text - additional sections can help to explain the model
  • Process - a process is a set of interdependent steps, performed by people or systems both within and outside an organization
  • Event - an event represents an interaction with the external environment
  • Activity - an activity represents work to be performed
  • Gateway - a gateway represents a point in the process where alternative and/or parallel paths begin or end
  • Lane - a lane represents the role accountable for, and the location of, a part of the process. More than one lane may represent the same role or location: this is sometimes useful to make the process diagram simpler.
  • Pool - a black box pool represents an entity external to the business process
  • Information - an information symbol represents a deliverable to or from a process
  • Data Store - a store represents a storage facility
  • Group - a group is used to group related parts in a diagram
  • Image - display an image or picture in the diagram
  • Label - a label is used to add explanatory text to a process diagram
  • Link - links represent relationships between resources
  • FAQ - associate a frequently asked question, with answer, with a process activity
  • Data Field - associate a data field with a process activity
  • User Story - associate a user story with a process activity

The options available within the Actions tab are:

  • Forward - bring component to the front
  • Back - send component to the back
  • Move up - move the selected component up the table of components
  • Move down - move the selected component down the table of components
  • Renumber - renumber the codes in the model
  • Relink - reroute the link
  • Reverse - reverse link direction
  • Refresh - redraw the diagram
  • Verify - verify the model
  • Sort - sort items alphabetically (the list that the selected component is a part of will be sorted)
  • Transform - converts future state components to the current state and removes dropped components
  • Send to workflow - sends the model to a workflow for approval etc

The options available within the Align tab are:

  • Same size - make selected components the same size
  • Left sides - move the selected components so the left sides align
  • Right sides - move the selected components so the right sides align
  • Top sides - move the selected components so the top sides align
  • Bottom sides - move the selected components so the bottom sides align
  • Centred horizontally - move the selected components so their centres align horizontally
  • Centred vertically - move the selected components so their centres align vertically
  • Spaced horizontally - move the selected components so they are evenly spaced horizontally
  • Spaced vertically - move the selected components so they are evenly spaced vertically
  • Stacked horizontally - move the selected components so they are stacked horizontally
  • Stacked vertically - move the selected components so they are stacked vertically

View tab

The options available within the View tab are:

  • Hide/Show explorer - toggle model explorer visibility
  • Show text/Show diagram - switch between text and diagram view
  • Hide/Show properties - toggle properties visibility
  • Show/Hide grid - toggle grid
  • Zoom in - zoom in (CTRL +)
  • Zoom out - zoom out (CTRL -)
  • Zoom to fit - zoom to fit
  • Zoom reset - zoom reset

Output tab

The options available within the Output tab are:

  • View HTML - view HTML output for the model (you can select a different style from the dropdown)
  • View PDF - view PDF output for the model (you can select a different style from the dropdown)
  • View Word - create a Word document for this model
  • Email - email a link to this model
  • Image - generate an image of the current diagram
  • Delete outputs - delete the associated documentation for this model
  • Oracle - Oracle BPA process
  • AWD - AWD process model
  • Processware 2016 - FlowCentric Processware 2016 deployment package
  • XML - XML file
  • Visio - Visio diagram

Properties Inspector trays and content will be determined by the model stencil and component selected within the Table of Contents.
